Clarification of scope

Defence has conducted searches relating to the scope of your request, and
are seeking your agreement to revise your request to be for material
relating to the previous Financial year (22/23) and the current Financial
year (23/24) only. If you are happy with this date range, please respond
to this email with your agreement.

 

Request for extension

Further, due to the processing demands associated with your request our
office is seeking your agreement to a 14 day extension of the statutory
deadline under section 15AA [extension with agreement] of the FOI Act. We
will endeavour to process your request as soon as we can.

 

Should you agree, the statutory deadline for you to receive a response to
your request will expire on 14 June 2024.

 

Next steps

It would assist us with the management of this request if you are able to
provide your agreement to the revised date range as well as the extension

Thank you for your response and conditional agreement.

Defence clarified the scope to be for material relating to the previous Financial year (22/23) and the current Financial year (23/24) only, as it is reasonable to conduct searches and make a decision on access on material located within this time period.

As your original request did not provide a precise timeframe for documents, broadened searches were undertaken in order to locate the material falling within the scope of your request, and thus this process has been timely. To make a decision of access on material covering an undisclosed time frame would take a significant amount of time and resources to process and the narrowed timeframe will enable Defence to thoroughly review and make a decision on any in scope material.

We would be grateful if you could provide confirmation of your agreement to the revised scope and extension of time by COB Today, 31 May 2024. If we do not receive a response by the required timeframe, we will proceed on the basis that you are satisfied that valid reasoning has been provided.
