I acknowledge receipt of your correspondence dated 17 November 2023 to the
Office of the Commonwealth Ombudsman (the Office), in which you requested
access to documents under the Freedom of Information Act 1982 (FOI
Act). Your request for documents was in the following terms:
This is a Freedom of Information Request for the purposes of the Freedom
of Information Act 1982.
I request access to the Style Guides/Brand Guides/Writing Guides currently
used for the Commonwealth Ombudsman.
Duplicates/irrelevant information
There may be duplicate copies of documents related to our request. Unless
you advise us you wish to receive multiple copies, we will only consider
and make a decision on one copy of each document.
Exclusion of junior staff details
The Office’s policy is not to release the names and direct contact details
of individual Ombudsman or agency officers that is not in the public
domain. We seek your agreement to exclude this information from documents.
Your agreement to exclude this information may help us to process your
request more quickly. Unless we hear from you within four days from the
date of this response we will exclude junior staff details from the scope
of the request.
Timeframes
The FOI Act requires us to provide notice of a decision on your request
within 30 days from the date we received a valid FOI request, that is,
before 17 December 2023. This 30 day period may be extended if we need to
consult third parties, impose a charge (a fee for processing your request)
or for other reasons. We will let you know if this happens. Please note
that certain information released may also be published on the agency’s
Disclosure Log.

Dear Alex,
TO ACTION: Request for extension
Under s 15AA of the FOI Act, the time for processing your application may
be extended up to 30 days with your agreement. We kindly request your
agreement to a further 30 days to process your request, as our team is
currently processing a high volume of requests while experiencing staff
shortages, and as our Office shuts down over the Christmas period (22
December 2023 to 2 January 2024).
This would mean the new date for us to provide you with a decision on your
FOI request will be 17 January 2024.
Please confirm if you agree to this extension by 13 December 2024, by
responding to this correspondence with ‘AGREE’.
