Some information about applying for access to documents held by the City
is set out below.

Right to Information and Information Privacy Applications

To help us process your Right to Information (RTI) or Information Privacy
(IP) request, please complete and submit a Right to Information and
Information Privacy Application Form and give us enough information to
identify the documents you are seeking. The same application form is used
for both RTI Act and IP applications. You can download it from
[1]www.rti.qld.gov.au. The link to the form can be found on the right hand
side, towards the bottom of the page.

To apply for information held by the City of Gold Coast under the RTI Act
or the IP Act, you need to:

o complete the application form, sign it where indicated, and return it
to us, by either:

·         ensure you provide a persona address where we can send written
correspondence (postal address or email address) and personal contact
number; and,

·         provide an original certified copy of your identification (if
the information you are requesting contains your personal information).

Fees

For RTI access applications, we will issue you a Notice to Pay for the
application fee. This fee cannot be waived. There is no application fee
for IP applications. You may also need to pay processing or access
charges. We will notify you of these once we have received and reviewed
your application. More information about RTI application fees and charges,

Certified Identity Documents

An original certified copy is considered valid if it is witnessed by a
lawyer, notary public, or a [3]Justice of the Peace or Commissioner for
Declarations.

Certified identity documents can be emailed or posted.

Examples of ID include:

·         birth certificate

·         driver licence

·         identifying page of current passport

·         18+ card

·         photographic student ID card from a recognised educational
institution

·         birth extract

·         marriage certificate

·         naturalisation certificate or citizenship certificate

·         immigration papers or other documents issued by the Commonwealth
Department of Immigration and Border Protection.

Applying on Someone’s Behalf

If someone is acting as your agent or on your behalf, they must also
provide evidence that they have authority to act on your behalf and a
certified copy of their ID.

Information to provide

You need to give us enough information about the documents you are
requesting to help us identify them. If you don’t give us enough
information, it may delay the processing of your application. The type of
information you need to provide will depend on the type of documents you
are after. You should also specify the time period of the documents that
you are applying for. This will narrow the required search enquiries.

Please also note that the Right to Information Act 2009 allows you to
apply for documents held by the City. Where an application seeks answers
to questions and where it requires the decision maker to choose what
documents the applicant should receive, or to undertake detailed
investigation or analysis to identify the documents, the application may
not be compliant.

You should describe the specific documents that you want to access clearly
enough for us to be able to:

(a).  identify the documents being applied for

(b).  conduct searches for the documents; and

(c).  make decisions on the documents.
