Meeting minutes discussing Radiation Protection Series 3
Dear Australian Radiation Protection and Nuclear Safety Agency,
This is a freedom of information act request regarding the Radiation Protection Series No 3: Maximum Exposure Levels to Radiofrequency Fields — 3 kHz to 300 GHz
I am requesting an electronic copy of the meeting minutes for any meetings conducted which discussed the above-mentioned report. This should include meetings which were specifically called with regards to this report, and those where this report was an agenda item.
I request that you detail the methods by which you search for the above-mentioned data by telling me the exact search terms and any limitations of dates, or who you consulted.
Yours faithfully,
Charlie Faulk.
Dear Mr Faulk,
We acknowledge receipt of your request.
We have taken your request to refer to the formal minutes of meetings which discussed Radiation Protection Series No 3: Maximum Exposure Levels to Radiofrequency Fields — 3 kHz to 300 GHz (either a purpose specific meeting or one where RPS 3 was an official agenda item). We have taken this to mean discussion of both the draft and final versions of RPS 3.
We have also taken your request to seek only those portions of the minutes which specifically dealt with RPS 3.
If we have not received any further clarification of your request by Tuesday 10 April 2018, We will proceed to process your request on the above basis.
Regards,
Martin

Dear ARPANSA FOI,
Thank you for your clarification - we are happy for you to proceed your investigation on that basis.
Yours sincerely,

Dear Mr Faulk,
Thank you for that. One further point of clarification, please. Are you seeking documents that relate to the original publication of the standard in 2002 or to the republication of the standard in 2016 when it was updated to extend its scope to include equipment operating up to 6 GHz?
Regards,
Martin

Dear Mr Faulk,
By way of an update to the status of your FOI requests for meeting minutes relating to RPS3 and TR164, I wish to advise that in the process of searching archives dating back some 18 years, a substantial number of documents have been identified as potentially responding to your request. This process has only just completed and I anticipate that it will take approximately another week for the documents to be assessed for relevance.
Please do not hesitate to contact me should you require any further information.
Regards,
Martin

Dear Martin,
Thanks for letting me know. As more than a week has passed since your previous email, could you give an ETA on when you will be ready to respond fully? With thanks.
Yours sincerely,
c.faulk
Dear Mr Faulk,
I apologise for the delay. It is proving logistically a little slower than I originally anticipated. I think it is going to take another couple of days.
Regards,
Martin

Dear Martin,
I appreciate you keeping me updated with the progress. However, you have made three promises of an expectation of finalising these requests and I am still awaiting a final response.
As you are probably aware, once an FOI request for documents has been received, an agency must, as soon as practicable, and no later than 30 days after receiving a request, take all reasonable steps to enable the applicant to be notified of a decision on the request.
As such I ask that you expedite this request and also conduct an internal review as for the delay.
Yours sincerely,
charlie:faulk
Dear Mr Faulk,
Please find attached my decision in relation to your FOI request.
